Choosing school management software in Nepal

It replaces duplicated paperwork with one shared set of records. The same student details feed attendance, fees, results and reports, so an update made once is correct everywhere. Most systems cover:

• Student records and admissions — profiles, guardians, class history.
• Attendance — daily registers by class, with reviews and summaries.
• Fees and receipts — fee structures, receipts and pending balances.
• Examinations and results — marks entry, grading and report cards.
• Notices, homework and staff records — everyday communication and administration.

Start with how your school actually works, not with a feature list. These checks matter most:

• Connectivity. If the office internet drops during the day, a browser-only system stops with it. Ask what still works offline.
• Who uses it, and where. Office staff at a desk, teachers in classrooms, a principal away from school — each needs a different kind of access.
• Local formats. Check that dates, fee workflows and report cards match how your school works, including Bikram Sambat (BS) dates where you use them.
• Where records are kept. Know whether records sit on a provider’s servers, on your own computers or both, and who is responsible for copies.
• Support after setup. Ask who trains your staff and who you call when something goes wrong.
• How pricing works. Ask what the price includes — editions, setup, training and support — before you commit.

Online (cloud) software runs in a web browser and keeps records in one central place, so everyone sees the same information — but it needs a working connection. Offline desktop software is installed on the school’s own computers and keeps working without internet, but records live on those machines, so moving them and keeping copies needs a plan.

Move in small steps. Clean up the records you already have, decide which ones need to come across first, and let one office or one class try the new routine before everyone switches. Keep the old register for a short overlap so staff can check results against something familiar, and name one person who owns the change.
